When you contact Rhiannon Ford Divorce Consultancy, you are often sharing some of the most personal information about your life.

You may be telling me about your relationship, your children, your finances, your health, your home or your future.

I understand that this requires trust.

Protecting your privacy and maintaining your confidentiality are not simply legal obligations; they are fundamental to the way I work.

Confidentiality

Confidentiality is one of the foundations of my practice.

Many clients tell me things they have never shared with anyone else.

This may include information about:

    • family relationships;
    • finances and assets;
    • children;
    • court proceedings;
    • domestic abuse;
    • health;
    • neurodiversity;
    • future plans;

I appreciate the trust my clients place in me, and I never take that responsibility for granted.

Wherever possible, your information remains between us.

If it ever becomes appropriate to share information with another professional involved in your matter, such as your solicitor, mediator, barrister or financial adviser, I will usually discuss this with you first and only do so where you have authorised me or where there is another lawful reason for disclosure.

Looking After Your Information

Protecting your personal information is an important part of providing a professional service.

I use appropriate technical and organisational measures to help keep your information secure.

These include:

    • Dubsado: We use this platform for client onboarding, contract signing, invoicing, and project management. The information stored may include your name, contact details, billing address, business information, and payment records. You can review their privacy practices in the Dubsado Privacy Policy.
    • MailerLite: We use this platform to manage our email newsletters, automated communications, and marketing campaigns. The information stored here is limited to your name and email address. You can review their privacy practices in the MailerLite Privacy Policy.
    • Microsoft 365 for secure email and business administration, protected by Microsoft’s built-in encryption in transit and at rest
    • Microsoft OneDrive for secure cloud document storage.
    • Password-protected computers and devices.
    • Biometric and passcode protection on my business mobile phone.
    • Microsoft Teams and Zoom for online meetings.
    • Secure online payment processing through Stripe.
    • Professional website hosting and support provided by Empowered Online.
    • Regular software and security updates.
    • Restricted access to client information.
    • Secure disposal of confidential information when it is no longer required.

Although no electronic system can ever be guaranteed to be completely secure, I continually review the technology I use to ensure it remains appropriate for the highly confidential nature of my work.

Responsible Use of Technology

Technology helps me provide an efficient, responsive and flexible service.

Like many modern professional practices, I may use technology, including artificial intelligence (AI), to assist with administrative tasks, drafting documents, creating educational resources, and improving the efficiency of my business.

Where I use AI:

    • I remain personally responsible for all work produced.
    • AI is used to support, not replace, my professional judgement.
    • I take appropriate steps to protect client confidentiality.
    • Any AI-assisted work is carefully reviewed before it is used.
    • AI is never used to make decisions about your circumstances.

Protecting your privacy always comes before convenience.

Working Together with Other Professionals

Many of my clients also work with solicitors, mediators, barristers, financial advisers, therapists and other professionals.

Where appropriate, I can work collaboratively with those professionals to support you throughout your divorce or separation.

I will only share information where:

    • you have asked or authorised me to do so;
    • it is necessary to provide the services you have requested;
    • I am legally required to disclose information; or
    • there is a safeguarding or other lawful reason requiring disclosure.

    Your Rights

    Under UK data protection law, you have important rights over your personal information.

    These include the right to:

      • know how your information is used;
      • request a copy of your personal information;
      • request deletion of information in certain circumstances;
      • object to certain types of processing;
      • withdraw consent where processing is based on your consent; and
      • raise any concerns about how your information has been handled.
